All orders placed with us by whatever means are subject to the following terms and conditions.

CURRENCY
All transactions will be made in Pounds Sterling.
Any other currencies displayed are for guidance only.
THE PRODUCTS WE SELL
All product information and images displayed are for guidance only and may change without notice. Some details may refer to the whole category or range, rather than any one particular item. Specifications shown are our best interpretation of information supplied by the manufacturer, and are as up-to-date as possible. If you require clarification on any item, please contact us before finalising your order.
SPANSTOR BUILD & TEST
Any items which need to be built together for your order will require extra time to fully test - this may add an extra day to your expected despatch/arrival date.
These are our usual build times :
1-2 drives in a non-RAID configuration - 1 hour
3+ drives in a non-RAID configuration - 2 hours
2-4 drives in a RAID configuration - 2-4 hours
5+ drives in a RAID configuration - 4-24 hours depending on complexity
VISITING US
You are welcome to visit our warehouse, where we have a waiting room and demonstration area.
We recommend that you contact us first, so we can reserve stock and prepare your order.
ORDER DESPATCH
Your order will despatched on the same day that we receive your order, if it is placed before the cutoff time for your chosen delivery method;
currently around 4.30pm for Couriers, 4.15pm for RoyalMail, or 3pm for TNT/DHL.
All product information pages show an 'estimated delivery time' from the time an order is placed, in working days.
For example '1 day' or 'in stock' generally means we have the item in stock right now.
Longer times e.g. '3 days' or '7 days' are our 'best guess' and are dependent on manufacturer or supplier delivery speeds.
Orders placed outside our normal working hours will be dealt with on the following working day.
If you place an order where some items are out of stock, we will normally despatch the entire order only when all the items are in stock. If you require partial deliveries, delivery will be normally be charged on each part-delivery.
DELIVERY METHODS
Delivery cost is calculated on the destination, weight and value of an order.
When ordering, you are able to choose from all available methods for your location.
UK Courier Deliveries :
Couriers - from about £8 - guaranteed by 5.30pm, 12pm, 10.30am or 9am; weekday or Saturday; tracked at every point.
Please be aware Couriers will attempt delivery once (or twice), and will require payment of a charge before making any further attempt.
UK Postal Deliveries :
RoyalMail Recorded - from about £2 - normal post, tracked at delivery only.
RoyalMail Special - from about £5 - guaranteed by 1pm or 9am; weekday or Saturday.
Please be aware that RoyalMail tracking is limited to the minimal information on the www.royalmail.com web site, and that we can not start a claim for loss or delay until 15 working days from the due delivery date.
International deliveries :
RoyalMail Airmail - from about £8 - slow or fast depending on your area; transferred to your local postal or courier service.
DHL or TNT - from about £15 - fast reliable service; tracked many times from start to destination.
For international delivery to countries outside the EU, you may be required to pay import taxes upon receipt. You may wish to contact your local tax office for advice. We are not able to mis-declare the value of shipments.
Signature required :
Your signature will be required for all methods of delivery. We are unable to accept instructions to leave parcels without a signature.
If there is noone available to sign for a delivery, you will need to collect from your local depot or organise a redelivery.
PAYMENT
You may use any of the following methods of payment:
Credit/Debit Cards: Visa, MasterCard, Electron, Maestro and JCB.
Please note we are required by your credit card company to deliver to your billing address. We can normally deliver to an alternate address (for example your place of work) subject to secondary validation. If we cannot validate the requested delivery address, we may only be able to deliver to your credit card billing address.
PayPal: Please ensure your name and delivery address are validated/verified by PayPal, so that we can process your order as swiftly as possible.
Cheque: Immediate clearance on receipt, subject to approval.
Cash: Accepted in person only.
Bank Transfer: Contact us for our account details.
All goods remain our property until paid for in full.
CREDIT TERMS
We are happy to offer 30-days credit on receipt of official Government & Educational purchase orders.
We can also offer 30-days credit to larger businesses and institutions, subject to approval and minimum order values.
All formal and informal quotes and proforma invoices are valid for 7 days from the date given, subject to currency fluctuations.
All prices are subject to change without notice.
VAT
VAT will be charged at the current rate of 20% on all items purchased, except for deliveries to :
1: UK bodies with VAT-exemption
2: VAT-registered EC companies outside the UK
3: Non-EC countries
4: Countries outside the EC for VAT purposes e.g. Channel Islands, Gibraltar, Canary Islands, etc.
WARRANTY
All our products are guaranteed for one year, unless otherwise stated.
All warranties are Return-To-Base, unless otherwise stated.
We support manufacturers' warranties, which can vary from 1-year to lifetime. The manufacturer warranty terms quoted on our website and invoices are our best understanding of the manufacturer's warranty terms.
Some manufacturers have their own warranty replacement services, which you may use instead of ours; this will not affect your guarantee with us. Where manufacturers' warranties include an advance replacement service, we recommend you use this service, as it usually results in a faster replacement arriving with you.
If a manufacturer is no longer able to supply a replacement product or credit for whatever reason, the limit of our liability will be to supply a replacement product or credit during the first year after the invoice date.
We can not be held liable for any loss of data, time or profits, recovery costs, or any consequential loss resulting from either defective goods, or other breach of warranty.
If you discover a fault with an item you have purchased from us, please contact us to obtain a Returns Authorisation Number, and to determine whether a repair, replacement or refund is required. A refund will only be an option if the item is returned within seven days of purchase and is in 'as-new' condition.
In the first month, we will despatch a replacement to you on receipt of the faulty item, subject to it being tested and found to be defective. For items beyond this period we aim to repair or replace goods within two working days. Non-repairable items will be returned to the manufacturer for replacement, which normally takes around 1-2 weeks. For discontinued items, we will attempt to obtain replacement goods for you from the manufacturer. It should be noted that in extreme cases a longer wait may be necessary, although such cases are rare.
Please Note :
1: A returns authorisation (RMA) must be issued before we will accept any returned item.
2: Inadequate packaging of delicate items such as hard disks will void your warranty.
3: A fee may be charged if there is no fault found.
This does not affect your statutory rights as a consumer.
MISSING/DAMAGED ITEMS
All missing or damaged products must be reported to us immediately in writing, within one business day of receipt. For items damaged in transit, please keep all packaging as this may be required for inspection by the courier company.
CANCELLATION AND REFUNDS
You may cancel your order & return the goods to us within seven days of receipt. Under the Distance Selling Regulations, you are required to inform us in writing of your intention to return items before doing so. The items must be unused, in a re-saleable condition, and it is your responsibility to return the goods to us in a safe & if necessary insured manner. For consumer buyers, your refund will be the full purchase cost including standard delivery costs. For business buyers, your refund will be the full purchase cost excluding delivery costs. Charges incurred to us which are non-refundable, such as bank fees or non-reversible card transaction fees, will be excluded from any refund. Items which are customised, built or manufactured specifically for your order, and items which we need to obtain specifically for your order, are returnable only after prior agreement, and will be subject to a restocking fee of up to 25%. Extra charges that we incur at your request, such as upgraded delivery from our suppliers, customs charges and fees, or factory setup fees, will not be refundable. Cancellations of software products will require manufacturer authorisation. You will be refunded within 30 days of the date we receive the goods back from you.
YOUR PRIVACY AND SECURITY
All information provided by you will be treated securely and strictly in accordance with the Data Protection Act 1998. Credit card payments are made through an external processor such as WorldPay, therefore we do not keep and do not have access to any card information at all. To ensure that your credit/debit card is not being used without your consent, we may validate the details you supply against appropriate third party databases. We do not share any of your information with any other companies.
We operate an 'opt-in' policy, so you will not be added to any electronic marketing lists unless you consent to be.

OTHER ISSUES
Any order placed with us will be treated as an offer to purchase. In the majority of cases, everything will go through smoothly, and you will receive your goods on or before the expected date of delivery, as quoted on your confirmation.
However, if we cannot complete your order as intended, we will place your order on hold before proceeding. For example :
* Human or computer error, causing the price or availability to be shown wrongly.
* Problems during the verification process; of your name, address, or credit card details.

- THE PERSONAL DATA WE COLLECT ABOUT YOU
Personal data, or personal information, means any information about an individual from which that person can be identified. You can find out more about personal data from the Information Commissioners Office.

As required by the PCI DSS regulations, we never take, see, or hold any of your payment card details. Any card details you enter are directly entered onto the card processor's web site, and not on any of our systems.

- WHO WE SHARE YOUR PERSONAL DATA WITH
We may have to share your personal data with the parties set out below for the purposes set out in the table in paragraph 4 above.
- External Third Parties, for example:
- Card Payment Processor. Your name, address, phone number & email address are passed to our card processor so your payment can be taken. We do not take or see your card details at any point, as you enter them yourself on their secured internet connection. We then receive confirmation of success or failure of the transaction.
- Your name, address, phone number & email address are required for the delivery of your order.
- Your name, address, phone number & email address may be required by a Supplier or Manufacturer, in the case of a direct shipment from them, or for the purposes of licensing a software product.
- Review websites. Your name, email address, and order number may be passed to an independent review website, to enable you to create a review about our website and service.
- Professional advisers, acting as processors or joint controllers, including lawyers, bankers, auditors and insurers based in the United Kingdom who provide consultancy, banking, legal, insurance and accounting services.
- HM Revenue & Customs, regulators and other authorities based in the United Kingdom who require reporting of processing activities in certain circumstances.
- Third parties to whom we may choose to sell, transfer, or merge parts of our business or our assets. Alternatively, we may seek to acquire other businesses or merge with them. If a change happens to our business, then the new owners may use your personal data in the same way as set out in this privacy notice.

In some circumstances we may anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes in which case we may use this information indefinitely without further notice to you.

No fee required – with some exceptions
You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable admin fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.
What we may need from you
We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.
Time limit to respond
We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
